This position serves as a trusted advisor to the Head of Flight Operations, assisting in driving strategic initiatives, ensuring the seamless execution of operational priorities, managing projects, and overseeing internal communication. The incumbent will play a crucial role in ensuring the smooth and efficient operation of the department by facilitating coordination and communication between Flight Operations and other departments.

 

Qualification & Experience

Education: 

Bachelor’s degree in aviation management, Business Administration, or a related field

Aviation-related certifications or other operations-related credentials are a plus

Experience:

Min. 10 years of experience in aviation or a related industry, with exposure to Flight Operations or cross-functional coordination.

Experience in project management, administrative roles, or regulatory compliance/ audits is an advantage.

 

Job Responsibilities

 

Strategic Leadership & Decision Support

  • Serve as a trusted advisor to the Head of Flight Operations, providing insights, analysis, and recommendations to support decision-making.
  • Drive alignment between Flight Operations and other business units, ensuring strategic goals are met.
  • Monitor industry trends, regulatory changes, and operational challenges to proactively identify opportunities and risks.

 

Operational & Project Management

  •  Oversee and coordinate key initiatives of flight operations, ensuring timely execution and effective resource allocation.
  •  Lead cross-functional projects, working with various departments such as Engineering, Ground Operations, In-Flight Services etc.  to enhance operational efficiency.
  •  Assist in planning and monitoring departmental activities to ensure operational efficiency and compliance with regulatory requirements.
  •  Track and follow up on action items from meetings, ensuring timely resolution.
  • Monitor and highlight key metrics or issues that require the HFO’s attention in context of flight operations.

 

Regulatory and Compliance Coordination

  • Collaborate with the Regulatory Affairs team to ensure that all Flight Operations processes align with applicable rules and standards.
  • Assist in coordinating audits, inspections, and responses to regulatory bodies as required.

 

Communication & Stakeholder Engagement

  • Assist in maintaining strong relationships with internal and external stakeholders, including pilots, regulatory authorities, and service providers.
  • Address queries or concerns raised by stakeholders and escalate as necessary
  • Prepare executive reports, presentations, and briefing materials for senior leadership and regulatory bodies.
  • Represent the Head of Flight Operations in meetings and decision-making forums when required.

 

Administrative Support

  • Manage the HFO’s calendar, scheduling meetings, and prioritizing tasks to optimize time management.
  • Organize and document departmental meetings, including preparing agendas, taking minutes, and following up on action points.
  • Handle correspondence, including drafting and reviewing emails, letters, and reports.
